Privacy Policy

How Badminton Geelong collects, uses and looks after your personal information, in plain English.

Who we are

Badminton Geelong Inc (“Badminton Geelong”, “we”, “us”) is a not for profit sporting club that has promoted badminton in the Geelong region since 1946. We run court hire, socials, coaching and competitions at Anakie Road, Bell Post Hill VIC 3214 and at Tarratarra Stadium, 7 Stadium Street, Armstrong Creek VIC 3217.

We respect your privacy and handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth). This policy explains what we collect, why we collect it and what you can do about it.

What we collect

We only collect what we need to run the club. Depending on how you deal with us, this may include:

  • your name, date of birth, gender, phone number, email and postal address
  • emergency contact details
  • membership, booking, coaching and competition records, including results and grading
  • payment details, which are processed by our booking and payment providers and are not stored by us
  • health or medical information you choose to share so we can keep you safe on court, for example for para badminton or first aid
  • Working with Children Check details for coaches, staff and volunteers
  • photos and video taken at club sessions and events
  • messages you send us through our contact form, email, phone or social media
  • basic website usage data such as pages visited, device and browser type, collected through cookies

How we collect it

Most information comes straight from you when you join as a member, book a court or social, enrol in coaching, enter a competition, fill in our contact form or speak to our staff. Some comes from the booking platforms we use, Sportlogic for court hire and membership and Sportsied for socials, and from Badminton Victoria for registration and insurance.

Why we use it

  • to manage memberships, bookings, coaching and competitions
  • to register members with Badminton Victoria and Badminton Australia and arrange sports insurance
  • to contact you about sessions, changes, cancellations and club news
  • to keep players safe and respond to incidents or emergencies
  • to meet our child safety obligations
  • to promote the club and celebrate our members, for example in our Flying Feathers newsletter, website and social media
  • to improve our website, programs and services
  • to meet our legal, financial and reporting obligations

We will only send you marketing emails if you have agreed to receive them, and you can unsubscribe at any time.

Children and juniors

Many of our players are juniors. Where a player is under 18, we collect their information from, or with the consent of, a parent or guardian. We will not publish a junior’s full name together with their photo without that consent, and we follow the Victorian Child Safe Standards in how we handle their information.

Photos and video

We often take photos and video at sessions, tournaments and events and may share them on our website, newsletter and social media. If you would prefer not to be photographed, or want an image of you or your child removed, just let a staff member know or email us and we will take care of it.

Who we share it with

We do not sell or rent your personal information. We only share it when we need to, with:

  • Badminton Victoria and Badminton Australia, for registration, insurance, grading and competitions
  • our booking, payment, email and website providers, who handle it on our behalf
  • coaches running sessions you have booked
  • emergency services or medical staff if there is an incident
  • government agencies or others where the law requires it

Some of these providers may store data on servers outside Australia. We choose providers that take reasonable steps to protect it.

Cookies and website data

Our website uses cookies and similar tools to keep it working, understand how people use it and measure our advertising. This data does not usually identify you personally. You can turn off cookies in your browser settings, although some parts of the site may not work as well.

How we keep it safe

We store information in secure systems with access limited to the staff and volunteers who need it. We keep it only as long as we need it for the purposes above or as required by law, then securely delete or destroy it.

Accessing or correcting your information

You can ask to see the personal information we hold about you, or ask us to correct it, at any time. Contact us using the details below and we will respond within a reasonable time, usually 30 days. We may need to confirm your identity first.
